We picked up another ecommerce job… to create a quick system that will allow the Toledo Zoo to sell tickets online for a very large event coming up. We will be putting 5 different sets of tickets online, and promoting our “Top 5 Toledo Events you Can’t Miss.” They will also be promoting the event via their own marketing efforts in addition to on their web site. We expect to sell 1500 tickets via this online ticket software system.

What makes this interesting is that we have “canned” a system that can be used by any other non-profit or for profit organization that wants to sell event tickets quickly, and does not have a large staff to manage that process.

What makes this so great for an organization like the Toledo Zoo is that prior to our system, the zoo staff had to:

• Take each order by hand over the phone.
• Take each credit card by hand and enter it into the system.
• Call people back if the credit card had issues.
• Create an invoice by hand.
• Create an list of attendees.
• Create an email list to send out event reminder 2 days before the event.

This takes a lot of man power and resources. We are not sure, but we estimate that it takes on average 25 mins to take an order via the phone, answer questions, process the credit card, and move the tickets to will call or mail, create a invoice/receipt, and add the email address to the follow-up email list.

Now 90% of that time is handled online. Our system will:

• Accept the order online.
• Run the credit card 100% securely.
• Email the customer with a thank you and sponsor info.
• Print out invoice/receipt that can be included with the tickets a will call.
• Provide the zoo with a spread sheet of everyone attending the event automatically.
• Send a email to the zoo staff each time an order is placed.

The staff can batch these orders once a day for an hour, rather than having people ready to take phone calls during business hours. Also, the system is online 24 hours a day for people that can’t order during the day.

This whole online ticketing solution will take about 10-15 hours to build and create, and costs $125 a month to host for the 2 months it is needed. This is a great quick solution for annual events!
